The information we collect about you

Nor do we collect any information about criminal convictions and offences.

Third parties – We may receive personal information about you from third parties such as Technical Data from analytics providers such as Google.
How we use your personal information?
Under data protection laws we are only permitted to use your personal information if we have a legal basis for doing so as set out in the data protection laws. We will only use your personal information when the law allows us to. Most commonly, we will use your personal information in the following circumstances:
- Where we need to comply with a legal or regulatory obligation; or
- Where it is necessary for the performance of a task carried out in the public interest; or
- Where it is necessary for our legitimate interests (or those of a third party) and your interests and fundamental rights do not override those interests; or

Disclosures of personal information

We may however, need to share your personal information with third parties who provide services to us to enable them to provide their services to us such as IT providers and system administration services.

We will also monitor the performance of these third parties (and their approved subcontractors) to ensure that your personal information remains secure.
Any third party service provider that we instruct will only process your personal information:

- as is strictly necessary to perform its obligations to us; and
- in the ways instructed by us.

We will however, share your personal information with relevant authorities and law enforcement agencies in order to assist with enforcement actions against any illicit tobacco trade activities.
We will also share your personal information with other members of the group of companies to which we belong, all under the heading of the Imperial Brands PLC Group.
We will not usually disclose your personal information other than as set out above. However, there may be circumstances where we need to share personal information other than as anticipated above. These include:
- where we are legally required to disclose the information, for example because a court orders us to do so;
- where the disclosure of the personal information is required for the purposes of the prevention and detection of crime. This includes sharing the personal information with tax authorities, law enforcement agencies and Trading Standards;
- where we need to disclose the personal information for the purpose of or in connection with any legal proceedings, or for the purpose of obtaining legal advice, or the disclosure is otherwise necessary for the purposes of establishing, exercising or defending legal rights;
- where disclosure is necessary to protect your vital interests (for example if you are unwell when engaging with us, we may need to seek medical assistance); and
- where we share your personal information with third parties to whom we may choose to sell, transfer, or merge parts of our business or our assets with if we reorganise our business. Alternatively, we may seek to acquire other businesses or merge with them.
Transfers outside of the UK
Your personal information will only be transferred to a third party country under UK and/or EU data protection law where the recipient has confirmed an adequate level of protection for it, for instance, by contractual agreement. You can ask us about the arrangements we have in place
Any information that you provide to us is stored on our secure servers. We will only retain your personal information for as long as necessary to fulfil the purposes we collected it for. Generally we will keep your personal information for a period of six (6) years in order to facilitate any investigations arising from or in relation to your submission or query. However, where we have a statutory obligation to keep the personal information for a longer period or where we may need to keep your personal information for a longer period in case of a legal claim or dealing with ongoing queries or complaints, then the retention period may be longer. Your personal information will be retained in accordance with your rights under the data protection laws and in line with our regulatory obligations.
You have a number of rights in relation to your personal information. You have the right within certain legal parameters, to:

- obtain access to your personal information that we hold;

No fee usually required

What we may need from you
We may need to request specific information from you to help us confirm your identity and ensure your right to access your personal information (or to exercise any of your other rights). This is a security measure to ensure that personal information is not disclosed to any person who has no right to receive it. Time limit to respond
We try to respond to all legitimate requests within one month. Occasionally it may take us longer than a month if your request is particularly complex or you have made a number of requests. In this case, we will notify you and keep you updated.
